Recruitment Privacy Notice

This notice explains how we (“TTB International OÜ in Estonia EU represented by TheMigrantBee”, “we”, “us”) process personal data during recruitment. It applies to candidates (“you”) and other individuals involved in the recruitment process (e.g., recommenders).

We act as a data controller, meaning we decide how and why your personal data is used.

1. Data Controller

Note: If you provide information about a recommender, it’s your responsibility to obtain their consent.

3. Purposes and Legal Grounds for Processing

3.1 Based on Legitimate Interests

We process data to:

Identify and evaluate candidates

Review publicly available profiles

Make hiring decisions

Conduct interviews and tests

Perform background checks

Communicate with recommenders

Data involved:
Identification data, contact data, experience/education, social media, communication, recruitment details, compliance information.

3.2 Based on Pre-contractual Necessity (GDPR Article 6(1)(b))

We process data when needed to:

Evaluate qualifications

Communicate during the application process

Prepare job offers or contracts

4. Data Sharing and Transfers

We may share your data with:

Service providers (e.g., cloud platforms, recruitment tools) acting as data processors

Independent professionals (e.g., lawyers, auditors)

Authorities if legally required (e.g., courts, regulators)

We do not transfer data outside the EU/EEA unless necessary. If so, we ensure appropriate safeguards (e.g., EU Standard Contractual Clauses).

5. Data Retention

We retain your data only as long as needed for recruitment or as required by law.

Example: Unsuccessful applications may be kept for up to 18 months to handle queries or disputes.

Terms of Service „Talent“

 

We are **TTB International OÜ (TheMigrantBee)**, a company registered in **Estonia EU**, with a registered office at **Narva mnt 5, 10117, Tallinn, Estonia.** (referred to as “we”, “us”, or “our”). We provide employee relocation and settle-in services (the **Service**) through our online platform available at **themigrantbee.com** (the **Platform**).

Generally, the Service is provided to legal entities (employers) who wish to relocate their employee or candidate from one location to another. In exceptional cases, we may also provide the Service directly to individuals (natural persons).

The term **”Talent”** or **”you”** refers to a natural person who requests the Service and accepts these Terms of Service (the **Terms**). If Services are extended to family members, “you” shall also refer to those family members. By accepting these Terms and using our Service, you confirm that you have read, understood, and agreed to these Terms. Acceptance forms a legally binding agreement between you and **TTB International OÜ** (the **Agreement**).

  1. The Service
  2. The Services may include:

   * Immigration-related assistance (e.g., employment registration, applying for residence permits or visas, personal identification numbers, residence and tax registration, overview of labor taxes);

   * Settle-in services (e.g., search for accommodation or family doctor, assistance with bank account setup or mobile phone services);

   * Any other services agreed upon between you and us.

  1. The specific scope of Services is agreed upon via interactions through the Platform or other communication.
  2. You agree that any information provided by us (e.g., steps to take, documents to submit) applies specifically to your situation and should not be shared with third parties without our prior written consent.
  3. You acknowledge that some results are outside our control (e.g., decisions made by government authorities). Time estimates are indicative only, but we will use reasonable efforts to support you promptly and effectively.
  4. User Account and Use of the Platform
  5. To access the Service, you must log in through the Platform and accept these Terms.
  6. We may allow you to create and manage an account on the Platform. You confirm that all information submitted during registration is accurate and complete.
  7. You are responsible for keeping your login credentials secure. Notify us immediately if your account security is compromised.
  8. A user account is required to access and use certain Platform features.
  9. You must not:

   * Use the Service for unlawful or immoral purposes;

   * Violate any local or international laws;

   * Harass or discriminate against others while using the Services;

   * Submit false or misleading information;

   * Upload or distribute malware;

   * Engage in spamming or unauthorized data scraping;

   * Circumvent Platform security features;

   * Transfer your account to another party.

  1. Privacy

  1. Fees and Payment
  2. The Service is subject to fees, which will be disclosed during the order process. Please verify fees before confirming any order.
  3. Payment is due based on issued invoices, payable within 10 calendar days. Late payments may incur interest at a rate of **0.066% per day** of the overdue amount.
  4. Liability and Indemnification
  5. We will provide Services using reasonable care and skill. We strive to meet any deadlines within our control and to act in your best interest.
  6. We are not responsible for:

   * Platform or Service outages;

   * Transmission failures;

   * Viruses or malware transmitted via the Platform;

   * Loss or corruption of data;

   * Compatibility issues with your device or browser.

  1. We are not liable for consequences arising from:

   * Incorrect or incomplete information provided by you, your employer, or your family members;

   * Delays or omissions by any third party involved in the relocation process.

  1. Our liability is limited to intentional or grossly negligent breaches. For any Service you purchase directly, our maximum liability is the total amount you paid for it.
  2. We are not liable for any indirect or non-material damages.
  3. Limitations of liability do not apply to intentional violations of the Agreement.
  4. You agree to indemnify us (and any third parties engaged by us) for losses or costs caused by your breach of this Agreement or applicable law.
  5. Termination and Deletion of Account
  6. This Agreement remains in effect indefinitely from the time you accept these Terms.
  7. Either party may terminate the Agreement without cause by giving **1 month’s** notice.
  8. You may terminate the Agreement immediately if we breach the Terms and fail to remedy the breach within **14 days** of your notice.
  9. We may terminate the Agreement immediately if you:

   * Submit fraudulent or misleading information;

   * Are ineligible or unauthorized to use the Services;

   * Breach these Terms and fail to resolve the issue within 14 days.

  1. Termination does not affect rights or obligations that arose before the termination date.
  2. After termination, we reserve the right to delete your account. Personal data and service-related information may be retained in our systems for up to **3 years** for legal purposes.
  3. Miscellaneous, Governing Law and Jurisdiction
  4. This Agreement is governed by the laws of **Talinn, Estonia EU**.
  5. Any disputes arising from this Agreement shall be resolved in the competent court of **Talinn, Estonia EU**.
  6. We reserve the right to amend these Terms if:

   * We improve or change the scope of our Services;

   * There are cost or risk adjustments;

   * We clarify the rights and responsibilities of both parties;

   * Any other reasonable grounds arise.

   You will be notified via email of any changes. If you disagree with the updated Terms, you may terminate the Agreement within **14 days** of notice. Otherwise, continued use of the Platform implies acceptance.

 

  1. You acknowledge that this Agreement constitutes a distance contract under applicable consumer laws. You expressly request that Services begin immediately and accept that you waive the right of withdrawal once Services are fully performed.

 

Terms & Conditions „Client“

 

We are  TTB International OÜ Respresented by TheMigrantBee an Estonian company, a company providing employee relocation and settle-in services (“Services”) through an online platform (“Platform”).

The term **“Client”** or **“you”** refers to a legal entity identified as a Client in a signed service agreement (“Service Agreement”). The term **“Talent”** refers to an employee or candidate whom the Client wishes to relocate using our Services.

By signing a Service Agreement and using the Services, you confirm that you have read and understood these Terms of Service (“Terms”) and agree to be legally bound by them. These Terms, together with the Service Agreement and any applicable data processing agreements, form the binding agreement between you and TTB International OÜ Respresented by TheMigrantBee (“Agreement”).

  1. Services
  2. The scope and details of the Services are outlined in the Service Agreement.
  3. We aim to ensure the Services provided match the described packages, though minor variations may occur without altering the essence of the selected package.
  4. User Account and Use of Platform
  5. To access the Services, you must register an account on the Platform. You confirm that:

   * Your registration data is true and complete.

   * You represent a legal entity with full capacity.

   * You are authorized to enter into the Agreement on behalf of that entity.

  1. Registration requires submission of information such as: business name, registration number, address, contact person details, and other requested data.
  2. You are responsible for maintaining the confidentiality of your login credentials. Notify us immediately of any suspected unauthorized access.
  3. An account is required to submit Service-related information, track case statuses, and generate reports. These and other features are accessible upon login.
  4. You agree not to:
  • Use the Services for unlawful, offensive, or abusive purposes.
  • Violate any applicable laws or regulations.
  • Harass, discriminate, or act inappropriately on any basis.
  • Submit misleading or false information.
  • Upload malware or attempt to disrupt the Platform.
  • Spam, scrape, or misuse the system in any technical way.
  • Transfer or share your account without permission.
  1. Scope and Provision of Services
  • We will deliver the Services as described in the Service Agreement or selected individually.
  • Only Services specified for each Talent will be provided.
  • You may need to submit personal and employment information about the Talent (and possibly family members).
  • We may contact the Talent or their family members and request additional details through the Platform.
  • By submitting data, you confirm you have obtained all required consents and legal authorizations to share that data with us.
  • Any information we provide in connection with a specific Service is relevant only to the individual Talent and case. We are not liable for misuse of such information by third parties.
  • Final outcomes may depend on external authorities; we do not guarantee approval or timelines. We will, however, make reasonable efforts to achieve favorable outcomes.
  • We may accept referral commissions from third parties.
  • We may modify these Terms to reflect service changes, legal updates, cost factors, or to clarify roles. You will be notified of changes via email or the Platform. If you disagree, you may terminate the Agreement within 14 days. Continued use after notice constitutes acceptance.
  • We may also update pricing as specified in the Service Agreement. Notification will be sent via the Platform or email, and section 3.9 applies.
  1. Privacy
  2. We process personal data submitted by you, the Talent, or their family members as part of the Services.
  3. Data for which TheMigrantBeeis the **controller** is processed under our privacy notice (available on our website).
  4. Data for which TheMigrantBeeis the **processor** is subject to a data processing agreement (DPA), which forms part of the Agreement. Further explanations are available under our Privacy and Security documentation.
  5. Liability and Indemnification
  6. We provide Services with due care and effort. While we aim to meet timelines, service delivery may be impacted by external or technical factors.
  7. We are **not liable** for:

   * Platform outages or service disruptions;

   * Data loss or corruption;

   * Viruses or harmful content;

   * Delays caused by inaccurate or incomplete data from you or third parties.

  1. We are liable only for **intentional or gross negligence**.
  2. Our liability is **limited to the total fees paid** for the specific Service.
  3. We are not liable for **indirect or non-proprietary damages**.
  4. These limits do **not apply** in cases of intentional breach.
  5. You agree to compensate us (and our subcontractors) for any damages resulting from your breach of the Agreement or law, including failure to obtain necessary consents.
  6. Termination and Account Deletion
  7. The Agreement remains valid indefinitely unless terminated.
  8. Either party may terminate the Agreement with one month’s written notice.
  9. Immediate termination is possible if the other party breaches the Agreement and fails to remedy the breach within 14 days of notice.
  10. We may terminate immediately if:

   * You submit fraudulent or inappropriate information;

   * You are unauthorized to use the Services;

   * You breach these Terms and fail to resolve the issue within 14 days of notice.

  1. If termination occurs while Services are active for a Talent, we will complete the active Services unless agreed otherwise. Fees are non-refundable unless we terminate without cause.
  2. After termination, we may delete your account. Service-related data may be retained for up to 3 yearsto comply with legal obligations or resolve disputes.
  3. Governing Law and Jurisdiction
  4. This Agreement is governed by the laws of Estonia, EU.
  5. Any disputes shall be resolved in the courts of Talinn, Estonia, EU.

Privacy Notice

 

This privacy notice (hereinafter “notice”) explains how TheMigrantBee (hereinafter “we” or “us”) processes personal data of employees or future employees of our business clients (hereinafter “talents”) and their family members in relation to our services.

Our services include immigration services (such as registration of employment, assistance with applying for residence permits or visas, obtaining personal identification numbers, registration of a place of residence, tax residency, and labor tax-related services), and settle-in services (such as finding housing, family doctor registration, assistance with opening a bank account, phone service agreements, etc.) provided for the relocation of talents and their families (hereinafter “relocation services”).

This notice also covers how we process personal data of visitors to our website www.themigrantbee.com (hereinafter “website”), representatives of potential and current business clients, and others who contact us through the website, by email, or by other means of communication (hereinafter “you” or “data subject”).

This notice describes the processing of personal data by us as a data controller, meaning we determine the purposes and means of processing personal data independently or jointly with others.

We do not transfer personal data outside the EU/EEA unless required for services. When such transfers occur, appropriate safeguards (e.g., Standard Contractual Clauses) are applied.

5. Data Retention

We retain personal data only as long as necessary for its intended purpose or as required by law. For example, accounting documents are retained for seven years.
